These terms explain how translation, interpretation and related consultation services are requested, confirmed and delivered. They also set out the responsibilities of both the customer and MVA TRANSLATION throughout the service arrangement.

These Terms & Conditions apply to services provided by MVA TRANSLATION, including written translation, website and marketing content translation, meeting and telephone interpretation, event and live interpretation support, and related consultation services.
Customers normally submit their requirements for review before a service is confirmed. The scope, languages, materials, timing, fees and any specific arrangements are agreed according to the individual project. Once the arrangement has been confirmed, these terms form part of the service relationship unless a different written arrangement has been expressly agreed.
A submitted enquiry is not a confirmed booking until the service details and availability have been reviewed.
Payment arrangements are confirmed after the service requirements have been reviewed and agreed.
Consultation requests must be made at least one calendar day in advance. Same-day consultation bookings are not available.
Language, scope, timing, materials and delivery arrangements may vary according to the confirmed project.
What MVA TRANSLATION provides
MVA TRANSLATION provides professional translation and interpretation services across languages. Depending on the agreed requirements, a service may involve written translation of documents, websites or marketing content, live interpretation for meetings and telephone calls, or interpretation support for events and other live situations.
Each project is considered according to the material, language combination, intended use, volume, timing and communication requirements supplied by the customer. The service provided is the service described and confirmed for the individual project.
Translation of supplied documents and written material according to the agreed language and scope.

Live interpretation for confirmed meetings, calls and other agreed communication sessions.
Interpretation support for events and live sessions where the required arrangements have been confirmed.
How a service request becomes a confirmed arrangement
Customers can submit their project requirements through the website or through the official communication details provided for the service. A request allows us to understand what is needed; it does not by itself create a confirmed service contract or guarantee availability.
The customer provides the relevant documents, content, language requirements, timing and other useful details.
The requested service is reviewed against the available scope, timing, materials and communication requirements.
Where necessary, further information is requested so that the project can be understood accurately.
The agreed scope, timing and payment arrangements are confirmed before the service proceeds.
Advance booking is required for consultations
Consultation appointments must be requested at least one calendar day in advance. This requirement gives sufficient time to review the request and arrange the appropriate consultation details.
Same-day consultation requests are not available. A customer should not assume that a consultation can be arranged simply because a time appears convenient. Availability must be confirmed before the appointment is treated as booked.
Consultation requests must be submitted at least one calendar day before the requested appointment date. The appointment is only confirmed after availability and service requirements have been reviewed.
Where a consultation request is submitted less than one calendar day before the requested time, the request will not be treated as a same-day booking. A later date may be considered where availability allows.
Customers are responsible for supplying accurate material
Translation and interpretation work depends on the information and material supplied by the customer. Before work begins, customers should make sure that the documents, files, instructions, terminology and other information supplied are complete and suitable for the requested service.

Right to provide material
Customers are responsible for having the appropriate permission to provide documents, text and other material for translation or related processing.
The confirmed scope controls the service
The service is based on the scope confirmed before work begins. This may include the language pair, word count, number or type of documents, meeting duration, event requirements, delivery format and agreed timing.
If the customer later changes the requirements, the change may affect the price, delivery time or availability. A significant change should therefore be discussed before additional work is undertaken.
Additional documents, content, languages or responsibilities may require a revised arrangement.
A shortened deadline may not be possible if it conflicts with the agreed workload or available capacity.
Additional interpretation time is subject to availability and may require a revised fee.
Work outside the original arrangement is not assumed to be included unless it has been confirmed.
Translation and interpretation delivery
Delivery arrangements depend on the type of service. For written translation, the customer will receive the agreed translation output in the format and through the delivery method confirmed for the project. For live interpretation, the service is delivered at the confirmed time and through the agreed communication or event arrangement.
Delivery timing may depend on receiving complete and usable source material. If the customer provides additional, incomplete or revised material after the project has started, the original delivery timing may need to be reviewed.

Payment arrangements are confirmed after review
Payment arrangements are confirmed after the service requirements have been reviewed. The applicable amount, payment timing and other relevant arrangements are based on the confirmed service.
MVA TRANSLATION does not process online payments through this website. After the service requirements have been reviewed and the arrangement has been confirmed, customers will receive payment information and booking arrangements through official communication channels.
Requirements are considered before payment arrangements are confirmed.
The applicable service fee is based on the agreed project or consultation arrangement.
Payment information is supplied through official communication channels.
Available payment methods may vary depending on the service agreement and customer requirements. Customers should rely only on payment information confirmed through official communication channels.
Cancellation is handled according to the confirmed arrangement
Customers should notify MVA TRANSLATION as soon as they know that a confirmed consultation or service can no longer proceed. The timing of the request and the status of the work may affect whether a refund is available.
Where sufficient notice is provided and the service has not started, the cancellation can normally be reviewed against the confirmed payment arrangement.

What customers are expected to do
A smooth translation or interpretation service depends on both sides providing the information and cooperation needed for the agreed work.
Supply readable, complete and relevant documents or content within the agreed timeframe.
Explain important terminology, formatting, audience or intended-use requirements before work begins.
Be available at the agreed time for telephone, online meeting or event interpretation.
Provide reasonable clarification when information is needed to continue the agreed service.
Make sure names, dates, figures, terminology and other important source information are correct.
Follow confirmed instructions for service, booking and payment communication.
What the service does and does not guarantee
Translation and interpretation are provided according to the agreed project scope and the information available at the time of delivery. MVA TRANSLATION will work with reasonable care, but the service cannot guarantee that a translated text will be suitable for every possible audience, legal system, technical context or future use unless that specific requirement has been included in the confirmed arrangement.
Customers should identify specialist requirements before work begins. This is particularly important where the material contains specialist terminology, industry-specific language, technical content or other requirements that may affect how the work should be approached.
Errors, omissions or unclear wording in source material may affect the resulting translation or interpretation.
Specialist terminology or unusual subject matter should be identified before the service is confirmed.
Customers should explain any important intended use or audience requirement when requesting the service.
Communication, file-transfer or meeting systems outside our direct control may occasionally affect delivery.
Important information should be communicated clearly
Customers should use the official contact information provided for their service arrangement when sending booking changes, cancellation requests, additional documents, payment queries or other important instructions.
A message is not automatically treated as an accepted change to the service. Where a change affects the agreed scope, timing, fee or delivery arrangements, confirmation should be received before the customer relies on the change as agreed.

Handling of customer documents and project material
Customers may provide documents, correspondence, website content and other material solely so that the agreed service can be carried out. Customers should avoid sending unnecessary material that is unrelated to the requested service.
MVA TRANSLATION will use the information supplied for the purposes reasonably required to review, arrange and deliver the relevant service, subject to the applicable privacy and data-handling arrangements.

Records may be retained where reasonably required for administration, accounting, legal or service purposes.
A practical limitation of responsibility
MVA TRANSLATION will use reasonable care when providing the agreed service. However, the quality and usefulness of a translation or interpretation can be affected by factors outside the service itself, including incomplete source material, incorrect information supplied by the customer, unclear instructions, late changes and problems with external communication systems.
MVA TRANSLATION is not responsible for delays or disruption caused by circumstances outside its reasonable control, including failures of third-party communication services, customer equipment, internet connections, late submission of required material or other circumstances that prevent the agreed service from being delivered as planned.
Customers remain responsible for checking whether the completed work is appropriate for their particular use, especially where the material is intended for a specialist, regulatory, legal, technical or commercial purpose requiring additional review.
Nothing in these terms is intended to remove or limit any responsibility that cannot lawfully be excluded or limited under applicable law.
Unexpected circumstances may affect delivery
Some events cannot reasonably be anticipated or prevented. Where an unexpected circumstance materially affects a confirmed service, we will communicate with the customer when reasonably possible and discuss the practical options available.
Problems affecting telephone, online meeting or other external communication systems may interrupt a live service.
An unforeseen issue may require a confirmed service to be moved to another suitable time.
Customer equipment, internet access, unavailable materials or other customer-side issues may affect delivery.
Where practical, we will consider rescheduling or another reasonable arrangement before treating a service as cancelled.
Information on the website
Information displayed on the website is provided to help customers understand the available services and submit enquiries. Service descriptions, examples, availability and other website information may change as the service develops.
A service description shown on the website should not be treated as confirmation that a particular language, date, deadline, format or specialist requirement is available. The individual service arrangement must be confirmed before the customer relies on it.

When these terms may be updated
MVA TRANSLATION may update these Terms & Conditions when the services, booking process, communication arrangements or other operating details change.
The version available when a new service arrangement is made will normally apply to that arrangement unless a different written arrangement has already been confirmed. A specific arrangement already agreed with a customer will not be changed simply by updating the website unless the change is expressly agreed or otherwise applies under the relevant arrangement.
These terms apply from the date they are published
These Terms & Conditions take effect immediately. They apply to new enquiries, consultations and service arrangements made after these terms become available on the website, subject to any specific arrangement already confirmed with the customer.
By submitting a service request, providing project information or proceeding with a confirmed service, the customer acknowledges that the relevant service arrangement is subject to these terms together with any specific requirements and payment arrangements confirmed for the project.
